Privacy Policy

This Privacy Policy explains how MotionHub.studio (“MotionHub”, “we”, “us”) collects, uses, and protects personal information when you use our website, web app, mobile apps, and connected services (together, the “Service”).
MotionHub is operated by Fexillon. If you have questions about this policy you can reach us at privacy@motionhub.studio.
1. Who this policy applies to
MotionHub serves two distinct kinds of users:
- Studios — studio owners, managers, and instructors who use MotionHub to run their business.
- Customers — students and members of those studios who book classes, hold memberships, and communicate with their studio through MotionHub.
Studios are data controllers for their customers’ data; MotionHub acts as the data processor for that customer data on the studio’s behalf. For studio-account information (the studio owner’s own profile, billing, etc.) MotionHub is the controller.
2. Information we collect
Information you provide directly
- Account & profile: name, email address, phone number, profile photo, and the studio you belong to.
- Studio business data: location, services, instructors, schedules, pricing, and similar operational settings.
- Bookings, memberships, and packages: classes booked, attendance, packages purchased, credits remaining, and waiver acknowledgements.
- Communications: messages exchanged between customers and studio staff inside MotionHub, plus support requests sent to us.
- Payment details: card information is entered directly into the studio’s payment provider (Stripe, MercadoPago, PayPal, or similar) and does not pass through MotionHub’s servers. We store only the gateway’s reference (token), the transaction amount, currency, status, and masked card brand/last-four.
Information collected automatically
- Device and log data: IP address, browser or app version, operating system, timestamps, and pages or screens visited.
- Push notification tokens from your device, used only to deliver notifications you have opted into.
- Cookies and similar technologies required to keep you signed in and to remember your studio context. We do not use third-party advertising cookies.
Information from third parties
- When you sign in with Google or Apple, we receive your name and email from those providers under their consent flows.
- When you connect MotionHub to an AI assistant (Claude, ChatGPT, or similar) through our MCP integration, the assistant connects via OAuth using your studio credentials; we receive only the requests it issues on your behalf and never receive your assistant-side conversation history.
3. How we use information
- To provide, maintain, and improve the Service.
- To create and manage your account and authenticate you securely.
- To process bookings, memberships, attendance, and payments.
- To deliver notifications you have opted into (email and push).
- To respond to support requests and detect fraud or abuse.
- To comply with legal obligations (tax records, lawful requests).
We do not sell personal information, and we do not use customer data to train third-party AI models.
Where data-protection law applies, we rely on the following legal bases: performing our contract with you (providing the Service and processing your bookings and payments); your consent (for example, optional notifications you opt into); our legitimate interests in operating, securing, and improving the Service; and compliance with our legal obligations.
4. How information is shared
- With your studio. If you are a customer, your studio sees the data needed to run your relationship with them (bookings, attendance, package balance, waivers, messages you send).
- With service providers that host or operate parts of the platform (cloud hosting, email and push delivery, payment processors). They are bound by contract to use the data only to provide their service to us.
- With AI assistants you explicitly connect through OAuth. The assistant only sees data you, as the signed-in user, are entitled to see, and is subject to the same per-user scope as the mobile app.
- For legal reasons: to comply with a lawful request, enforce our Terms, or protect the rights, property, or safety of MotionHub, our users, or the public.
- In a business transfer: if MotionHub is acquired or merges with another company, your information may be transferred under the same protections described here.
5. Data retention
We keep personal information for as long as your account is active and for as long as needed to provide the Service, resolve disputes, and comply with our legal obligations. When a studio closes its account, customer data is deleted or anonymised within 90 days, except where retention is required by law (e.g. tax records).
6. Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- correct or update inaccurate information;
- delete your account and associated personal data;
- export your data in a portable format;
- object to or restrict certain processing;
- withdraw consent at any time, where processing is based on consent;
- lodge a complaint with your local data protection authority if you believe we have not handled your personal data lawfully.
Customers should first contact their studio to exercise these rights, since the studio is the controller of their account. If the studio cannot help, write to privacy@motionhub.studio and we will assist.
7. Security
We use industry-standard safeguards to protect your information, including encryption in transit, restricted access controls, and separation of each studio’s data. No system is perfectly secure — if we become aware of a breach affecting your personal data, we will notify you and the relevant authorities as required by law.
8. Changes to this policy
We may update this policy from time to time. The “Effective date” at the top reflects the latest revision. Material changes will be communicated by email or in-app notice before they take effect.
